Aquarium Maintenance Software for Service Companies

For aquarium and pond service companies

Your field software can schedule the visit. Can it record the nitrate?

Tank Wiki is field service software built for one trade. Routes, techs, and truck stock, with a complete water history for every tank you service.

No card required. Your data stays readable even if you stop paying.

Generic field software does not understand water

Jobber, Housecall Pro and ServiceTitan will schedule the visit and send the invoice. They do that well. Then your tech kneels down at a 180 gallon reef, runs a test, and has nowhere in the app to put the ammonia reading.

So it goes in a notebook, or a photo on somebody’s phone, or nowhere at all. The single number that decides whether you keep the account lives outside the software you pay for every month.

Tank Wiki keeps the route and the water chemistry in the same place, because in this trade they are the same job.

What you actually get

Every tank has a history

pH, ammonia, nitrite, nitrate, salinity and temperature, logged against the tank and the visit and the tech who took the reading. Charted over months, not scattered across notebooks.

Techs get a route, not a spreadsheet

Ordered stops for the day, a checklist per tank, and notes that come straight back to the office. Works on a phone in a plant room with no signal.

Your client sees proof

Send a read-only link showing their tanks are healthy and what you did last visit. No login for them to forget. It is the cheapest retention tool you will ever run.

The van tells you what it needs

Set what each truck should always carry. Every morning the system lists what to load: restock, anything a tech requested for a customer, and filters and media already due on that day’s stops.

The log is the difference between keeping the account and replacing the livestock

A 200 gallon corporate reef is four hundred to nine hundred dollars a month of recurring revenue, sitting on top of tens of thousands in livestock and hardware.

When it crashes, and one eventually will, the conversation is about what you did and when you did it. “We service it every month” is not an answer. Eight months of dated readings, each signed by the tech who took them, ends the conversation in about ninety seconds.

A notebook in a van does not do that. Neither does software that had nowhere to put the number.

Priced against what it protects

Less than one month of one account. Cancel any time.

The questions everyone asks

Do I have to drop Jobber or Housecall Pro?
No, and plenty of people run both for a while. They keep invoicing where it is and move the tank work here. Most drop the other one within a few months because the double entry gets old, but that is your call, not ours.
What about my accounting?
We do not touch your money and we never will. No payments, no tax, no chart of accounts. You get a clean export of what was used and sold so your bookkeeper can drop it into QuickBooks, Zoho or whatever you already run.
How long does setup take?
An afternoon. Add your clients, add their tanks, invite your techs. You do not need to backfill years of history. The log starts being useful on the second visit and starts being valuable at about six months.
What happens if I stop paying?
Nothing gets deleted. Every client, tank and water reading stays visible and exportable. What stops is adding new work. We are not going to hold your service history hostage.
Does it work for ponds?
Yes. Same problem, bigger water. Routes, water chemistry, equipment intervals and client reports all work the same whether it is a lobby reef or a koi pond.

Try it on one route

Put one tech and one day of stops in. Fourteen days, no card. If it does not save that tech time by the end of the first week, walk away and keep your export.
